When the company pays for the journey, you need more than a ticket: a correct invoice, in the company’s name, that can be added to the accounts without complications.
What is needed for the invoice
To issue the invoice in the company’s name the usual tax details are needed: company name, tax ID and registered address. The most practical thing is to provide them when booking the service, so that the invoice comes out right from the start and does not need correcting afterwards.
If the service is requested by someone other than the person who later handles the invoice at the company — for example, an employee who travels and an accounts department that invoices — it is worth having the tax details to hand before confirming the transfer, so that you do not have to reconstruct them later.

How it is paid
Cash, card, Apple Pay, Bizum or bank transfer. For company expenses, bank transfer or card are usually the easiest options to reconcile afterwards with the invoice, although any of the methods is valid.
What kinds of journeys are invoiced in the same way
- Airport transfers for business trips.
- Travel to fairs, conferences or sales visits.
- Pick-up of clients or suppliers at the station or airport.
- Routes between sites or offices of the same company.
The invoice does not change the service: it only changes the paperwork behind it, and that paperwork should be as simple as possible.
An important notice
This article explains how invoicing for the transport service works, not how to deduct that expense in your company: for that, each business’s accountancy or tax adviser has the final say according to its specific case.
